GrantOtter is operated by Yuke Wang, Vernon Hills, IL. This policy explains what data we collect, how we use it, and your rights.

What we collect

Account information — your email address and encrypted password, collected when you create an account.
Researcher profiles — AI-generated profiles based on your name, institution, and publicly available sources. If you upload a CV, it is processed server-side to extract text and is not shared externally.
Application data — grant applications, draft concepts, biosketches, checklists, and documents you create or upload within the app.
Usage analytics — anonymized usage events (e.g., tab visits, features used) recorded in Supabase to help improve the product; website page visits are tracked via Google Analytics. No personal identifiers are linked to these events.

How we use your data

To provide and operate the GrantOtter service.
To generate researcher profiles, match grants, and produce biosketches using AI.
To send grant match results to your email when you request it.
To improve the product based on aggregated, anonymized usage patterns.

Third-party services

GrantOtter uses the following third-party services to operate:

Supabase — database and file storage. Your profiles, applications, and documents are stored in a private Supabase project with row-level security (RLS). Only you can access your own data.
Anthropic (Claude) — AI processing for profile generation, grant matching, brainstorming, and biosketch generation. Your data is sent to Anthropic's API for processing. Anthropic's data processing agreement applies.
Voyage AI — semantic search embeddings for the collaborator search feature. Researcher names and profile text from the shared institution pool are sent to Voyage AI for embedding generation.
Google Analytics — anonymized website and app usage tracking.
Gmail (SMTP) — used to send grant match results to your email address when you request it.

Your data is never used for AI training

Your profiles, applications, biosketches, and documents are never used to train AI models — by GrantOtter or any third party. Your content is used solely to generate results for you within your session.

Data security

All data is encrypted in transit (HTTPS/TLS) and at rest via Supabase.
Row-level security (RLS) ensures each user can only access their own data — no other user can read yours.
Passwords are fully encrypted and never stored in plain text.
Uploaded documents are stored in a private, access-controlled Supabase Storage bucket.

Data retention and deletion

Your data is retained for as long as your account is active. You can request deletion of your account and all associated data at any time by emailing grantotter42@gmail.com. We will process deletion requests within 30 days.

Cookies

GrantOtter uses cookies for authentication session management (via Supabase Auth) and for Google Analytics. No advertising or tracking cookies are used.

Changes to this policy

If we make material changes to this policy, we will update the "Last updated" date above. Continued use of GrantOtter after changes constitutes acceptance of the updated policy.

Terms of Service

By accessing or using GrantOtter at grantotter.streamlit.app or grantotter.com, you agree to these Terms of Service. If you do not agree, do not use the service.

1. The service

GrantOtter is a free, web-based tool that helps researchers discover grant opportunities, generate researcher profiles, and manage grant applications using AI. The service is provided as-is and may be modified, suspended, or discontinued at any time without notice.

2. Eligibility

You must be at least 18 years old to use GrantOtter. By creating an account, you confirm that the information you provide is accurate and that you will use the service only for lawful purposes.

3. Your account

You are responsible for maintaining the confidentiality of your account credentials.
You are responsible for all activity that occurs under your account.
Notify us immediately at grantotter42@gmail.com if you suspect unauthorized access.

4. Acceptable use

You agree not to:

Use GrantOtter to generate false, misleading, or fraudulent grant applications.
Attempt to access other users' data or circumvent security measures.
Use the service in any way that violates applicable law or regulations.
Reverse engineer, scrape, or copy the service or its underlying AI outputs for commercial redistribution.

5. AI-generated content

GrantOtter uses AI to generate researcher profiles, grant recommendations, proposal concepts, and biosketches. These outputs are provided as a starting point and may contain errors, omissions, or inaccuracies. You are solely responsible for reviewing, verifying, and editing all AI-generated content before using it in any official submission or application.

6. Intellectual property

You retain ownership of all content you upload or create within GrantOtter (profiles, documents, application materials). By using the service, you grant GrantOtter a limited license to process and store your content solely to provide the service to you.

7. Disclaimer of warranties

GrantOtter is provided "as is" without warranties of any kind, express or implied. We do not guarantee that the service will be uninterrupted, error-free, or that grant recommendations will result in successful funding outcomes.

8. Limitation of liability

To the maximum extent permitted by law, Yuke Wang shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of GrantOtter, including but not limited to lost funding opportunities, data loss, or reliance on AI-generated content.

9. Termination

We reserve the right to suspend or terminate your account at any time for violation of these Terms. You may delete your account at any time by contacting grantotter42@gmail.com.

10. Governing law

These Terms are governed by the laws of the State of Illinois, United States, without regard to conflict of law principles.

11. Changes to these terms

We may update these Terms from time to time. Continued use of GrantOtter after changes constitutes your acceptance of the revised Terms.
